Moving Into a Rented Flat in Ahmedabad: Move-in Checklist
Everything to do before signing, on signing day, with utilities and the society, plus a 20-point move-in inspection, first-week tasks and the paperwork to keep for a clean exit.

Moving into a rented flat in Ahmedabad is a sequence of small tasks, and the ones that cause trouble later are almost always the ones done in a hurry on move-in day. This checklist walks through the sequence we use for every rental we close in Bopal, South Bopal, Shela, Ghuma and the surrounding areas: what to settle before signing, what to collect on signing day, how to sort electricity, water, gas and broadband, what the society will ask for, a 20-point inspection for move-in day, first-week tasks, and the paperwork to keep for exit.
Before you sign
- Verify the owner. Ask for an ownership proof (sale deed, index copy, share certificate or a recent property tax bill) and match the name to the ID of the person signing. If a relative or power of attorney holder is signing, see the PoA.
- Confirm the society's position. Does the society accept your household type (family, bachelors, company lease), and does it charge a tenant fee? Ask the owner to confirm with the society office before you pay the deposit; our bachelors guide explains what committees look for.
- Check the outgoings. Who pays society maintenance, and how much is it? What were the last three electricity bills? Is piped gas connected?
- Visit at two times of day. Water pressure at 7 am and parking at 9 pm tell you more than the listing does.
- Read the agreement draft at home. Rent, escalation, deposit, lock-in, notice, repairs and painting. Our rent agreement guide lists the clauses worth negotiating.
- Agree the move-in date in writing and ask the owner to have the flat cleaned, pest-controlled if needed, and every fitting working by then.
On signing day
Three documents leave signing day with you, and all three matter at exit.
- The rent agreement, stamped, signed by both parties and witnesses, and notarised or registered as agreed. Take an original, not a photo of the owner's copy.
- The deposit receipt. Transfer the deposit by bank, note the transaction reference in the agreement, and get a signed receipt. Never pay cash.
- The inventory, listing every fitting and appliance with its condition, signed by both sides and attached to the agreement. Pair it with photographs of every room, taken that day.
Also collect: every key (main door, bedrooms, balcony grilles, letterbox), appliance remotes and manuals, the society's access cards or fobs, and the contact numbers of the owner and the society office. Count the keys and write the number on the inventory.
Utilities: electricity, water, gas and broadband
Electricity
Torrent Power is the distributor for Ahmedabad city, while parts of the western belt that joined the municipal limits more recently, and the Sanand side, have been served by UGVCL, the state distribution company. The name on the latest bill tells you which one you are dealing with; the routine is the same for both. The connection almost always stays in the owner's name and the tenant pays the monthly bill online using the consumer number on the bill. On day one, photograph the meter and its reading, check that the meter number on the latest bill matches the meter outside your door, and ask the owner for the last paid bill so you are not inheriting arrears. A transfer into the tenant's name needs ownership documents and the owner's consent, so most people do not bother for an 11-month tenancy.
Water
In most apartment schemes water comes through the society: a mix of AMC supply where the network has reached, and the society's own borewell, with the cost folded into maintenance. Ask whether the society arranges tankers for summer shortfalls and whether that cost is passed on, which is common in parts of Shela and Ghuma where the municipal network is still catching up. Row houses and bungalows on individual AMC connections are the exception: confirm who pays the water charge and property tax (it should be the owner).
Gas: piped (PNG) or cylinder
Adani Total Gas supplies piped natural gas in Ahmedabad, and most schemes built in the last decade in Bopal, Shela and South Bopal are piped. Like electricity, the PNG connection usually stays in the owner's name and the tenant pays the bill; photograph the gas meter reading on day one and get the last paid bill. If the supplier asks for a tenant declaration or a name update, its current rules apply, so check with them directly. If the flat is not piped, you will need an LPG cylinder: transfer your existing connection through your distributor using the rent agreement as address proof, or take a new one.
Broadband and DTH
Fibre coverage varies by building, not by area. Before you commit, ask the society office or a neighbour which providers have fibre terminated in the building; in West Ahmedabad that is typically a mix of Jio, Airtel, GTPL and Tata Play Fiber, but a given tower may have only one or two. A new install usually takes two to five working days, so book it the day you sign.
| Utility | Usually in whose name | Day-one action | Keep |
|---|---|---|---|
| Electricity (Torrent Power or UGVCL) | Owner | Photo of meter and reading; match meter number to bill | Last paid bill; your payment receipts |
| Water | Society or owner | Ask about tanker charges and summer supply | Maintenance receipts |
| Piped gas (Adani Total Gas) | Owner | Photo of gas meter; check valve and for any smell | Last paid bill; your payment receipts |
| LPG cylinder | Tenant | Transfer or new connection with the rent agreement | Subscription voucher |
| Broadband | Tenant | Check building coverage; book install on signing day | Installation receipt; router return terms |
| Society maintenance | Owner (member) | Confirm who pays and the monthly figure | Receipts in the society's name |
Society formalities
- NOC or tenant registration. The owner applies; you supply ID, photographs, the agreement copy and the police acknowledgement. Get this done before the moving truck is booked; some societies will not allow a move without it.
- Move-in slot. Many large schemes in Shela and South Bopal ask you to book a date and time, pad the lift, and sometimes pay a refundable shifting deposit. Ask for the rules in writing.
- Vehicle sticker or RFID tag. Carry a copy of the RC book and bring the vehicle; confirm which parking slot belongs to the flat and whether a second vehicle is allowed.
- Intercom and visitor app. Most schemes run a gate app (MyGate, NoBrokerHood or similar) for deliveries and visitors. Have your number registered to the flat on day one or your first delivery will be stuck at the gate.
- House rules. Ask for the residents' handbook: timings for shifting and renovation, garbage segregation, pet rules, guest parking and clubhouse charges.
- Emergency numbers. Society office, security cabin, the plumber and electrician on call, and the lift maintenance contractor.
Move-in day: the 20-point inspection
Walk through the flat with the owner or their representative before unloading anything. Tick each point, photograph each, and note defects on the inventory.
- Main door lock, latch and safety chain work; you have every key
- Every window opens, closes and locks; grilles and mosquito mesh intact
- All lights, fans and switches work; no exposed wiring; MCB panel labelled
- Every power point tested with a phone charger
- Taps in kitchen and bathrooms run with acceptable pressure, hot and cold
- Geyser heats; its MCB and isolation switch identified
- Flushes work; no leak at the base of the WC or under basins
- Drains in bathrooms, balcony and kitchen flow freely; no smell
- No damp patches or seepage on walls or ceilings, especially below the upstairs bathroom
- Kitchen chimney, hob and (if piped) gas connection tested; no gas smell
- Each AC runs cold within ten minutes; remote present; condensate drains outside
- Fridge, washing machine, water purifier and any other appliance switched on and working
- Wardrobes, drawers and kitchen shutters open and close; hinges and runners intact
- Walls, floors and tiles: photograph every mark, chip or crack
- Balcony railing secure; drain clear; no loose tiles
- Intercom works and your number is registered on the gate app
- Electricity and gas meter readings photographed with the meter number visible
- Parking slot confirmed; sticker or tag received
- Pest check: open the kitchen cabinets and look behind the fridge
- Inventory and photos shared with the owner on WhatsApp or email the same day, with their acknowledgement
First-week tasks
- Change the main door lock cylinder if the agreement allows (hand the new key to the owner at exit); at minimum, ask how many copies exist
- Set up reminders or standing instructions for rent, maintenance, electricity and gas, each paid by bank transfer with a reference
- Update your address with your employer, bank, mobile provider and delivery apps; the rent agreement works as address proof for most of them
- Register on the society app and meet the secretary or estate manager; a familiar face at the office helps when something breaks
- Report any defect found after move-in in writing within the first week; most owners accept that a geyser or tap that fails in week one was theirs to fix
- Locate the nearest hospital, 24-hour pharmacy and grocery; our area pages for Bopal, South Bopal and Shela list them
- Buy a basic toolkit, a fire extinguisher if the flat has none, and a torch for summer power cuts
What to keep for the exit
Your exit, eleven months or several years from now, will be judged against what you can show. Keep one folder, physical or digital, with:
- The signed agreement and any renewal letters
- The deposit transfer confirmation and signed receipt
- The inventory and the move-in photographs with their dates
- Every rent transfer reference and every utility and maintenance receipt
- The police verification acknowledgement and the society NOC
- Written requests for repairs and the owner's replies
- The notice you give at exit, and the owner's acknowledgement
On the day you leave, repeat the 20-point inspection in the same order, photograph the same spots, return every key against a signed handover note, and settle the deposit on the spot where possible. Tenants who do this get their deposit back; tenants who do not spend weeks arguing about a loose drawer runner.
